Tips For Arranging A Group Outing

When you live in a close community or are a member of a club, one of the most fun things that comes up every now and then is the chance for an outing. An outing gives you the chance to go and indulge in your favourite thing. 

It could be a museum, it might be an art gallery or a dance performance. No matter what your focus is, there will be cool things to do as a group.

But if you’ve never done it before, then arranging them could be difficult. 

So, let’s get started on how you can create a great day out for you and your group! 

Plan 

Before you start calling around all of the locations to get prices, think about what you really want to achieve and why. Almost all day trips will have some sort of problem in the run-up and on the day, most of which comes down to money. Get together with others who want to work on the outing and make a plan. 

Consider who will want to go, how much it will be each, where they will want to go, when the best time to go is and how you get everyone there! 

Budget 

During the planning, you will come up with so many options! But not everyone will be able to afford the total. It is important to go for a budget that suits almost everyone – but it is wise to build in some extra funds for those people who might struggle to cover the cost. 

Factor in things like the ticket for the event, how much minibus hire will be split between the group, food and any extras. Then add on about 40% of the total for ‘what if’ things. 

Group Prices

Something that is a must is getting in touch with the places that you want to go to and asking what the group rate is and how much of a discount that is. Typically, group rates will be cheaper than if you purchase the tickets separately. 

Sometimes, in the group package, there can be additional things like tours from a guide or early entrance. Look for the best deal for your group. 

Accommodation

When your group needs to travel quite far to get to the location, you have a choice. One option is to return straight after the event and drive in the evening (and arrive back either very late or very early in the morning). The other option is to find somewhere that is budget-friendly for everyone to sleep. 

When it comes to sleeping arrangements, people should be able to choose to share or not, and not sharing will be a bit more expensive. Adding accommodation can increase the cost substantially, but it can be the best option for comfortable travel. 

No matter what you want to do, make sure that you talk to the group often to see what is feasible and what people need or want to make the day trip go well!
